Getting started with Kronika Pracy

There is nothing to install or integrate. Most of the work is decisions on the company's side: who creates works, how you calculate the creative part, and who approves submissions.
Steps
- Demo and offer. We show the app with sample data and agree the number of users. Book a demo.
- Data processing agreement. We sign the Data Processing Agreement (DPA). Your data protection officer can use the DPIA support assessment.
- Contracts and policy. With a tax advisor or lawyer, make sure employment contracts define creative work and the transfer of rights, and that an internal policy describes how works are recorded. You can upload the policy text to the app: the AI pre-review checks entries against it too.
- Company settings. An admin chooses how the creative part is calculated (from hours in the month or a fixed percentage per job role), the submission deadline, the AI score threshold and the work form.
- Users. Add people from a CSV file or a pasted list: roles, job roles, each person's approver and fallback approver.
- The first month. Employees record works as they go or at month end. The draft shows gaps straight away, and the AI pre-review points out what to improve before the submission reaches the approver.
- Approval and payroll. Approvers accept submissions or return them with feedback. Payroll downloads a summary with the approved creative percentage (CSV or XLSX).
- Audit. The register lets you filter submissions, and a PDF evidence pack per person and period contains the works, decisions and attachments.
How long it takes
Setup and importing users usually take an admin one working day. Step 3 takes longest if contracts or the policy need changes; that depends on your advisor. You can have the first approved submissions after the first month.
Checklist before you start
- A signed Data Processing Agreement.
- Employment contracts that define creative work and the transfer of copyright.
- A creative work policy or regulation, ideally uploaded to the app.
- The chosen way of calculating the creative part and, for a fixed percentage, job roles with their rates.
- A list of users with roles and approvers.
- A monthly submission deadline agreed with payroll.
- The kinds of evidence you will use (link, commit, file path; attachments optional).
